Summary of results: A brief review of the main findings, often just two or three pages. Nature of the study: The general objectives, the problem stated in operational terms, the working hypothesis, and the type of analysis required. Methods and methodology: The specific techniques used and their limitations, including sample size and sample selection in survey studies. Data and analysis: An assessment of the data, their sources, and their characteristics, including whether any secondary data suit the problem at hand. Popular reports prioritise simplicity and attractiveness over technical depth. Several features set them apart. Simplified language: Jargon is minimised or explained in plain terms. Visual emphasis: Findings appear through charts, infographics, and photographs rather than dense statistical tables. A narrative approach: Information often follows a clear story, usually leading with the most important finding before filling in the supporting detail. Research on communicating health and population studies describes how popular reports use storytelling and real-world examples to keep non-specialist readers engaged.

A familiar example is the way the Reserve Bank of India presents headline figures from its annual report to the wider public through accessible summaries, while the detailed research studies sit within the full document for specialists. The same underlying work reaches two audiences in two registers. Popular reports trade exhaustive detail for reach, which is exactly what makes them valuable when findings need to influence decisions or public understanding.

Specialised reports and their distinct audiences

Beyond the technical-popular divide, several specialised report types appear regularly in academic and professional life. Each follows its own conventions because each serves a particular reader.

Bank and institutional reports

Reports prepared by government bureaus, central banks, special commissions, and similar organisations are usually comprehensive documents on the issues they examine, and they are often treated as important research products in their own right. It is among the most demanding research documents, requiring an original contribution to knowledge, an extensive literature review, and a fully transparent methodology. A thesis shares the depth of a technical report but adds a stronger emphasis on situating the work within existing scholarship. Its audience is a small group of examiners and, eventually, other researchers in the field.

News reports

News reports represent research communication at its most public. A journalist takes findings from a study, a survey, or an official report and compresses them into a short, timely piece for a mass audience. The news report strips out methodology almost entirely and focuses on relevance: what happened, why it matters, and who is affected. It is the most accessible point on the reporting spectrum, but it depends entirely on the more detailed reports behind it.

Book reviews and literature analyses

Book reviews are a short form of report that analyse the content of a book and assess the author’s intentions, their success or failure in achieving their aims, and their language, style, scholarship, and point of view. A literature analysis works similarly, examining a body of writing rather than producing fresh empirical data. These reports demand critical judgement rather than data collection, and they serve readers deciding whether a work is worth their time or how it fits within a larger conversation.

Choosing the right report for your audience

The thread running through every report type is audience. A well-planned research report begins by defining its readers and its purpose, and only then settles on structure, language, and the level of detail. Write a technical report for policymakers and most of them will never finish it. Hand a popular summary to a peer reviewer and they will not be able to verify your claims. The skill lies in matching the format to the people who will actually read it. As you move through your own studies, you will rarely write just one version of your findings. You will learn to translate the same research up and down this spectrum, choosing the report that fits the moment.
